Distribution operations generate an IT estate unlike anywhere else. Alongside a modest number of office machines sit large fleets of rugged handheld scanners, vehicle-mount terminals on forklifts and MHE, label and thermal printers throughout the building, warehouse management servers, voice-picking headsets and terminals, and transport office desktops running continuously.
The defining characteristic is quantity of identical devices. A single site might retire four hundred handhelds of the same model — which changes both the logistics of collection and, importantly, what the equipment is worth.
Rugged handhelds and vehicle-mount terminals are frequently treated as peripherals rather than computers. They are computers. A typical unit retains cached network credentials and WiFi profiles, operational and consignment records, customer addresses and delivery data, and sometimes signature capture images.
We treat them as data-bearing devices and sanitise them accordingly rather than passing them straight to recycling. If handhelds are in your load, say so — they should appear in your destruction documentation like any other device.
The commercial point most operators miss: a large fleet of identical working handhelds has genuine resale value, often substantially more than the office equipment alongside it. Ask for a valuation before writing them off. At fleet scale it can meaningfully offset the cost of the replacement programme.
The site does not stop. The equipment you want collected is generally still in use right up until the new fleet is deployed, and it is spread across a very large building. The approach that works is staged:
Each stage gets its own documentation, so nothing sits in limbo without a paper trail — which matters, because equipment awaiting collection in a warehouse has a way of going missing.
Anyone in distribution knows the fourth quarter is untouchable, and a good deal of the third is too. Refresh and disposal projects realistically happen between January and September, with a clear preference for the quieter first quarter.
Plan around it deliberately rather than discovering it. If a fleet is being replaced ahead of peak, arrange the disposal of the old units before the operation locks down — otherwise those devices sit in a corner of the warehouse until February, losing value and holding data.
